Outlook offline folders are exact replicas of Exchange Server mailboxes. They act as slaves of the master server folders-the mailboxes. So, if anyhow the mailbox is deleted, you cannot access the OST data as you cannot synchronize it. OST requires to be synchronized with Exchange mailbox in order to convert into PST. But if the original mailbox is deleted, the operation fails and the OST file is left as orphaned. However, you can try recovering the data provided the MS Exchange profile has not been deleted or modified. But if this is not the case and the profile has been changed, you should try alternative third-party solutions to Convert OST to PST.

For an instance, suppose you log on to Exchange Server as administrator and delete a mailbox inadvertently. The user starts Outlook email client with old OST file, but fails as it receives an OST synchronization error. The operation fails and OST data remains inaccessible.

Cause

OST cannot synchronize and is orphaned if the corresponding mailbox has been deleted.

Solution

The below solution will work to recover OST emails if you haven't modified the original profile, which you used to create the file. Through original profile, you need to validate that you are allowed to log onto the server mailbox. When you successfully logs into the server, Exchange creates a unique ID key from mailbox and stores in the profile. Your profile is checked for this key each time when you try to access the OST file. So, if the key is altered by logging into different mailbox or server or by modifying the profile, you cannot access the OST file. Thus, you can follow these steps to recover OST data while making sure that you haven't modified the profile and made any attempts to log onto different server or mailbox:

1-You should start Exchange Client OFFLINE and click Services in Tools menu
2-Click to Add a Personal Folders service
3-Copy the email messages to this new PST file and click OK
4-Duplicate the above steps for each folder of the file
5-You can now create a new profile or log onto a different mailbox or server
