The effective combination of planning and management can produce the slick well oiled corporate event that can be classified as a successful corporate event. Most employees, guests, attendees have experienced both the former and later. Usually, unfortunately, we remember for years often with annoyance and amusement the events that didn't go with a bang but instead a whimper. Just imagine if you are the one ultimately responsible for the failed event!
Fortunately it is possible to avoid the heiferlump traps of corporate event planning, by doing just that, planning. From the outset you need to be clear on and communicate effectively the date(s) of your event(s). Initial planning should not overlook this basic requirement. If you have a specific date in mind, that of course will help, but this should not be dogmatically adhered to. Check that it is a good time for all interested parties, that includes participants and event organizers and locations, not forgetting transport providers. The actual date of an event might have to turn into an agreed alternative date if the initial one proves impractical.
Next to ensure that you have the best possible initial planning structure it is import to decide on who the ultimate head of the "corporate event planning" team is. This individual will not be responsible of the actual implementation of individual aspects of the event, but will be in overall charge. The corporate event planning team leader needs to be a good manager that works well under pressure. This individual will ultimately be responsible for the final decisions. The corporate event planner will require an effective team under him to delegate to. The first decision that needs to be made is what the purpose of the event is. This might seen rather simplistic, but it is easy when dealing with individual aspects of any plan to lose sight of the overall reason for event in the first place. Being clear on what the purpose of an event is will help in making those individual planning decisions.
Having agreed on the ultimate purpose of your event you then need to agree on a guest list, the location and content of the event. Once the location and the date are a fixed point, the event planner can then get to grips with organizing the elements required to create the event. Staff involved in the implementation of the event are key to its' ultimate success. They need to be equipped with the necessary skills to perform their function within the event. Choosing an appropriate work force is only part of the process of effective corporate event planning. These individuals need to be clear of their functions within a team. This will require good communication and training prior to the corporate event. On the actual day of the event, the training, if well planned and implemented should ensure the smooth running and success of the corporate event planning.
