However, there is high possibility that due to some problem, you may lost your stored data. · Create by document or file types:
You can easily find your applications by making a folder called Program Files. You can create this folder on your drive and store all applications or files there. For example, the executable for Power Point, WinZip, Word and Simply Accounting would all be stored in the Program Files or Documents Folder.

· Always Make Folders in My Documents:
Many people call them as the drawer of of your system's filing cabinet. Always use simple language to name the folders. Make sure that you do not name any of your folder as an abbreviation like “ANH” and then wonder in future what does this folder contains.

· Be Particular:
Make sure that you give your files specific and logical names that should include date as well. The objective of naming the documents or files is that you may immediately make out what a particular folder contains. Therefore, if the file is about a letter to a client reminding him about his overdue payment then you may name it like 'overdue091207'.

· Clear your Files on Regular Basis:
Keep your document folders uncluttered by eliminating old files. However, make sure that you never delete any file related to your business unless you are sure that you will never require it in the future. Instead, create a folder called “Inactive” or “Old” and shift your old files into this folder.

· Make a Sequence of Files;
There are some folders or files that you use on regular basis , keep them at the top of the file list by naming them with A or AAA at the beginning of the folder name.

Following these few management tips, you can have an easy and quick access to files stored on your computer systems.
