The emergence of lates technology has created many facilities for us. In fact, modern technology is the main driver behind modern society. Without its existence, we would not be able to even fulfil our basic work. Computers now play the essential role in our lives. In offices, all the data is stored and repossessed from these computers. The good old style of file keeping has become a thing of the past. Many offices have stopped using papers in their official work as all the work is stored in computers. They call it a paperless economy where everything is transferred electronically.

Despite all this progress in official procedures, there is still an issue that affect the fame of a company. Computer also stores the data in the form of a document. This document can be lost or destroyed if the computer crashes or if a virus attacks the system. In that case, the important data will be lost and there would be no alternate filing to retrieve that important information. This scenario has lead to the introduction of document management system. All offices now establish special software to control computer files.

A document management system is basically computer software that collect all computer files and documents and then catalogues them. Every file is stored at two different locations to assure their protection. Safety of data is the primary concern of any software. A document management system allows for a limited handling of important documents. Security passwords are assigned to a few selective individuals. No other person can manage this data since the document management system has many security processes in place.

Increasingly, a lot of of these softwares are connecting the management system to the Internet that also allows a speedy document searching. Again, passwords are allocated to top grade of a company, and only they can approach these documents. This procedure permits a real-time document management. You can also improve these documents and include new documents and stats or create a new document through this system. The online management will ensure that it is correctly saved and secured at different areas.

We can also create databases and content lists on this system. First, you need to save all the documents and classify them as required. Later, a computerized list can be created as per the data available on these files. Separate documents can be created for each set of data. You can always retrieve a specific file by simply entering its code number.

Document management system is still not very popular in offices. People are afraid that an online system can damage their confidentiality. These fears, however, are rooted in confusion as document management is an efficiently managed and secured system that involves a lot of screening. Also, it is an affordable alternative to huge amount on hiring file keepers and paying them monthly wage to manage official documents. You can also have some trust problems as the chances of data theft are greater in a manual system.
