Microsoft office Access is one of the many database management systems. Microsoft Office Access being a relational data administration, it combines the relational Microsoft jet data base engine with graphical consumer interface and other software expansion apparatus. The composition of a database is defined by the tables and the fields within those tables. Each database has one or several tables. A table is a solo store of interconnected information.
On average a table will store data about an existent humanity, thing or perception, such as a car, land, patient, or bank account. Numerous databases have compound tables, so the database itself holds information concerning a function area, whereas the tables contained by that database clasp data about equipment or items within the application region. So a university or college database may have tables for students, as well as for teacher and the courses alike, while a database for a doctor’s surgical procedure may have tables for patients, hospital and patients schedule.
To create a table, using Microsoft office Access make sure that the Tables object tab is selected then click on the New button. This presents you with a dialogue box with five choices namely, Table wizard, Design View, Data sheet, Link Table and Import Table. When you select Table Wizard, Access will aid you to make an average table via pre-defined fields. Choosing Design View, further, allows you to devise your personal table. Every field of the table has three basic components, the field name-which introduces the data stored in the field, Data type tells access what kind of data to be stored in the field and this includes numbers, texts, date among others, also there is description which aids the user to recall the aim of the field. Various fields can be used as keys as far as Microsoft office access is concerned, this can be linked to the fact that, every table includes a column or a number of columns that exceptionally recognizes each row kept in the table. This can be identification numbers or a serial number.
Hence, Access uses primary keys to rapidly link data from several tables and pool them together. Indexes aid Access to get and sort records faster, thus indexes are pointers that help in tracing data location rather than data itself, an example of an index may include customer serial number and this can include single or multiple fields. Like any other applications Microsoft Office Access has got its share of limitations and restrictions in the way it handles and processes data. For instance, Access is not suitable any environment where data workload is huge, this restriction more than often has forced many users or programmers to upgrade to SQL server, another factor is that it can only hold handful users at a time. Lack of standardization is could lead to loss of crucial information or in some cases destruction of data banks due to poor information and system functionality. Therefore it is crucial to set standard of how data is to be handled, stored or eventually processed. This can be attributed to the fact that, there are many applications today which are being employed to process data but cannot be linked to the programming language used as well the nature of work station and file formats(Helen,2008).
