Any good businessman knows the power of a well organised meeting. Not only are they essential to reinforce daily operations and internal structure, but a well planned client meeting can mean the difference between no business and solid, continuing work from current clients.

The right type of meeting is important, and the right location to hold the meeting can be so much more than comfortable seating and tea and coffee. In short, the right kind of meeting in the right kind of location will make an impression on employees and clients alike.

There are plenty of factors that should be considered when choosing a meeting venue: is it worth the cost? Does it have the requisite tools (teleconferencing abilities, projectors, high speed internet access)? Does the size of the location suit the number of attendees/the purpose of the meeting? Is it accessible for all parties?

First and foremost, is the venue accessible for all? There might be a number of attendees based well outside the local area. If so, is it simple enough for them to travel to? If you choose a venue that’s hard to get to or requires a number of different modes of transport to reach (train, taxi or even a plane), what kind of mood do you expect the attendees to be in when they eventually arrive? Convenience really is king when it comes to meetings, and a difficult journey for one or more parties is going to severely affect the overall meeting.

Of course, cost is always going to be a factor. Costs will vary depending on the type of facilities you require. Even the cheapest meeting rooms should be functional and come with a simple whiteboard and projector. Obviously, costs vary wildly depending on the quality of the furnishings and facilities on offer and their locations. Top price facilities will (or should) be set in an easy to access central location, have all of the latest conferencing technology (the ability to tele/video conference, projectors, PA systems, high speed wireless with dedicated bandwidth), comfortable and functional furnishings, rest areas for meeting breaks, good refreshments and possibly cafeteria or restaurant facilities.

Choosing the right meeting room for your needs can be the difference between success or failure in your meeting. The right meeting room can make that deal happen, can and will impress your clients, and can add weight to your pitch. It might all seem a little like smoke and mirrors, but the right choices before the meeting, will affect the outcome.
