Running an event is hard work and one of the hardest things can be deciding just where to run it. If you live in a bustling city like Manchester or Leeds you will know there are countless venues to choose from and picking the right function room can be difficult. Here are my top 5 tips for picking the right function room for your event.

1) How much does the venue cost to hire?

This is the very first thing you need to think about – what is your budget and do you want to spend it on an expensive function room? Often you can find a venue for cheap or free if you are pulling in a big enough crowd that they can make money on the bar.

2) Is the venue right for your night?

You should look for a function room that offers the right sort of feel for your event. If you are running a black tie private party then you are likely going to want somewhere quite classy – consider checking our cocktail lounges. If you are running a pounding underground mash-up then a warehouse might be more appropriate.

3) Is it in an easily accessible location?

Are people likely to drive to your event or get public transport? Does the venue have parking available or nearby? Is it a public music event you’re putting on or a private party? These questions are important when considering the location of the function room you are looking to hire.

4) Is it the right size?

You should look for a venue that is the correct size for your event. This doesn’t mean find the biggest venue possible – if you only have a couple hundred guests then you don’t want your party to seem empty. On the other hand if you have thousands coming then you’ll want to make sure there is space. Be realistic with yourself on how many people are likely to come.

5) Does it have the kit you need?

If you are planning on having live music acts at your night or a DJ or even just an ipod with a playlist then you are going to need some equipment. It may be that you can provide this yourself or that the band you have hired can bring their own, however you should not leave this to chance. Talk to the acts you are having at your event (especially live music acts) and then speak to the venue owners. Make sure you have access to all the equipment you need before you hire.
